Tour price options and variations

This article explains how to set different prices for Tours, depending on group size, duration, year, season (high/low), etc. You can now set all these pricing options via the Tour creation/edit form under Pricing Options & Variations. All variations can be set either for the total Tour price per person, or for the daily Tour price per person.

This article does not explain how to add different Tour price categories (such as Budget/Standard/Premium if you offer different accommodation choices), or how to include add-on services/charges (such as transfers, single room upgrades, equipment rental, etc.). These options are explained in a separate article (click here).

Example Tour:

  • Price per person of $300 per day, assuming 2 pax group size
  • Flexible duration of 6-8 days
  • Min. group size of 1 pax (with surcharge), max. group size of 12 pax
  • By default, the price for this Tour will be displayed as “From: $1,800” ($300 x 6 days x 1 person)
  • Assume you wanted to achieve the following schedule, whereby your base price person will increase by 5% in 2018:
  • In addition, assume you wanted to charge $100 more during high season months, and $100 less during low season months.
  • This article illustrates by way of example how you can implement all these different price settings.

 

Setting different prices depending on group size

You may want to set a surcharge for single travellers, or discounts for larger groups.

Example Tour:

  • You have a single traveller surcharge of $200.
  • If the group size is 3 travellers, you can provide a discount of $50 per person on the total Tour price per person.
  • If the group size is 4 travellers, you can provide a discount of $75 per person.
  • If the group size is 5 or more travellers, you can provide a discount of $100 per person.
  • Here’s how you can set all of this:

 

Setting different prices depending on duration

You may want to reduce the price per day for longer tours. You may either want to do this by changing the price of the total tour, or by changing the price per day.

Example Tour:

  • The standard Tour for 6 days costs $1,800, or $300 per day. If a client wants to extend to 7 or 8 days, you may want to charge less than $300 per day for each additional day. E.g., you might want to charge $2,000 for 7 days and $2,150 for 8 days. You can achieve this in 2 different ways:
  • Option 1: Change the total price per person
    • The 7-day default Tour price would be calculated as $300 x 7 = $2,100. However, you only want to charge $2,000. Hence, your total price difference is $100.
    • The 8-day default Tour price would be calculated as $300 x 8 = $2,400. However, you only want to charge $2,150. Hence, your total price difference is $250.
    • Here’s how you would make these changes:
  • Option 2: Change the price per day person
    • The average price per day of your 7-day Tour is $285.71 ($2,000/7). This is $14.29 less than the default price per day of $300.
    • The average price per day of your 8-day Tour is $268.75 ($2,150/8). This is $31.25 less than the default price per day of $300.
    • Here’s how you would make these changes:
  • It doesn’t matter whether you choose option 1 or 2. The result will be the same (except for minor rounding differences). Choose the option that you find more intuitive and easier to implement.

 

Setting different prices for different years

You might want to increase your price for the next year. This might be a fixed amount per Tour or day (similar as above examples), or a percentage increase.

Example Tour:

  • All Tour prices in 2018 will increase by 5%. To do this, you need to multiple the “Daily price p.p.” with 1.05.
  • IMPORTANT: This will not work if you put the multiplication into the “Total price p.p.” column. It needs to be set under “Daily price p.p.”. This means that all other adjustments made for different group sizes, duration, etc. will not be changed, only the base price per day. It’s currently not possible to increase your entire Tour price including all adjustments with a percentage. To do this, you might want to use a fixed amount instead.

 

Setting different prices for different seasons

You might want to increase your prices during high seasons, or reduce your prices during low season. To do this, you can either use the “Date range” feature similar as above, or set it for different months as in the below example.

Example Tour:

  • A $100 discount is offered during low season months in April, May and November.
  • A $100 premium is charged during high season months in January, February and September.
  • The discount/premium for different months is set as follow:

 

Troubleshooting and FAQs

  • I’ve entered a discount, but it gets added rather than deducted from the price. –> For discounts, you can type the “-” character before the number OR select the “-” field above. Please do not enter it twice, in which case it would be calculated like a double MINUS which becomes PLUS.
  • I’ve added a field, but the price calculation doesn’t change. –> Please make sure to always enter both range values (from AND to). E.g.: For prices starting from 1 January 2018, you also need to enter the date they are valid to—just choose a date far in future. Or, e.g., for group discounts that apply to groups above a certain size, also enter the maximum size.
  • When I save and go back to edit, the fields look messed up showing a lot of different range value (similar to the below). –> This might happen due to caching. Please refresh the site, or close and reopen your browser.
  • I need to enter the price change as a percentage, rather than a fixed value. I’ve tried it via the multiplication option, but it doesn’t work.–>Yes, this should be possible via the multiplication option. However, we are aware that it doesn’t always work and are currently investigating this issue.
  • Can I also use the other options provided such as range of weeks, days, or time?–>Yes, all these options should work (if you find them useful).
